Standard Job Description
Performs a variety of secretarial and administrative duties for assigned supervisor/manager or senior staff member. Performs normal office functions such as setting up and maintaining alphabetical, numerical and/or subject files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. May take and transcribe dictation; uses personal computers and standard desktop software to compose reports, correspondence, and memorandums; reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. May provide guidance and direction, as needed, to lower-level secretaries and other clerical employees.
Resposibilites include:
- Managing dynamic multi-disciplinary schedule via MS Outlook with rapid notification of schedule changes. The schedule includes office activities, conference roons, and visistaion schedules
- Anticiapate and coordinate with Program Manager regularly for near term and long term staff actions
- Support front office and staff meeting agenda coordination. Will attend and take minutes and create action items as required
- As needed, arrange domestic and international travel and prepare expense travel reports
- Manage multiple audiovisual and telecommnications devices on sight
Basic Qualifications
- Administrative Assistant experience
- Must be proficient in MS Office (Outlook, Word, Excel, and PowerPoint)
- Experience in managing emails, calendars, and schedules
- Experience in travel planning and expense reporting

- Advanced user of MS Outlook email and calendar
- Advanced user of Microsoft Office Word, EXCEL, Power Point; Expert in web-based applications on desktop and mobile devices;

Pay Information
Full-Time Salary Range: $50300.00 - $93300.00

PTO, Vacation, sick leave, and holiday hours are prorated based on start date during the calendar year.
