Standard Job Description
As an Administrative Assistant supporting ADSW Advanced Programs, you will provide high-impact administrative and operational support to the Program Director and the broader leadership team. You will manage and optimize complex calendars; coordinate recurring meetings, leadership reviews, customer engagements, and staff events; arrange travel and support expense reporting; and prepare professional correspondence, agendas, presentation materials, and action-item trackers. You will serve as a trusted liaison across program leadership, administrative peers, and cross-functional partners to ensure timely communication, effective scheduling, and smooth execution of daily priorities.
You will also maintain key team resources and processes, including the ADSW-AP staff event calendar, organizational charts, shared collaboration sites, travel-approval tracking, and program information repositories in Teams, SharePoint, and/or Confluence. The successful candidate will bring exceptional organization, discretion, initiative, and attention to detail; proactively resolve conflicts and changing priorities; and help establish efficient methods for tracking leadership actions, organizing program information, supporting onboarding, and coordinating team activities.

Basic Qualifications
- Demonstrated administrative, executive-assistant, office-management, program-support, or comparable coordination experience.
- Ability to manage complex calendars, schedule meetings, coordinate logistics, and respond effectively to changing priorities.
- Strong organizational skills, attention to detail, follow-through, and ability to independently manage multiple assignments accurately and on time.
- Strong written, verbal, interpersonal, and customer-service communication skills, including the ability to interact professionally with all levels of leadership, employees, customers, and external partners.
- Proficiency with Microsoft Office applications, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.
- Ability to prepare clear, professional correspondence, agendas, presentation materials, meeting notes, and action-item trackers.
- Ability to manage sensitive, confidential, proprietary, and classified information with discretion and sound judgment.
- Ability to work effectively both independently and collaboratively in a fast-paced, deadline-driven environment.
- Ability to obtain and maintain any required security clearance or access authorization.
Desired Skills
- Experience supporting senior leaders, program managers, chief engineers, or other executive-level stakeholders.
- Advanced Outlook calendar-management skills, including scheduling across multiple stakeholders, locations, and time zones.
- Experience coordinating large meetings, leadership reviews, customer engagements, off-site events, and multi-stakeholder activities.
- Experience arranging business travel and preparing expense reports using systems such as Concur or comparable corporate travel and expense tools.
- Working knowledge of Teams, SharePoint, and Confluence for collaboration, document management, team communications, and information organization.
- Experience establishing effective file-management, document-control, or program-data organization practices.
- Ability to anticipate needs, identify process improvements, and proactively resolve administrative or scheduling issues before they affect program execution.
Pay Information
Full-Time Salary Range: $50300.00 - $93300.00

- For (Washington state applicants only) Non-represented full-time employees: accrue at least 10 hours per month of Paid Time Off (PTO) to be used for incidental absences and other reasons; receive at least 90 hours for holidays. Represented full time employees accrue 6.67 hours of Vacation per month; accrue up to 52 hours of sick leave annually; receive at least 96 hours for holidays. PTO, Vacation, sick leave, and holiday hours are prorated based on start date during the calendar year.
