Standard Job Description
Provides daily on-site office management and administrative assistant support to a 7-member Lockheed Martin (LM) Government Affairs (LMGA) team, primarily out of the Fairborn, OH office, but also remotely in support of geographically-separated offices outside Eglin AFB, FL and Hanscom AFB, MA.
Performs a variety of secretarial and administrative duties for assigned Leader and team members, to include:
- Orchestrating Lockheed-Martin (LM)-hosted meetings in the Fairborn office meeting spaces, to include working with meeting POC to identify number of meeting attendees; selecting best meeting space; ensuring meeting POC’s enter non-LM visitors into VisitLM; greeting/checking in all visitors against approved visitor list; documenting non-LM participants in VisitLM; and assisting in the smooth execution of all meetings
- Maintaining proficiency in the office’s Communications, Information Technology and Security equipment to facilitate meetings and resolve issues as they arise
- Maintaining proficiency in Concur’s travel planning software tools, assisting travelers, as needed
- Making Travel Card purchases and filing associated expense reports, for self, and assisting others with their expense reports in Concur system
- Making Purchasing Card (P-Card) purchases, and conducting monthly reconciliation of P-Card statements from US Bank website
- Tracking and reporting status of the offices’ allocated budgets
- Supporting document review for LM POCs, which includes receiving hard copy documents; making them available to non-LM reviewers; and documenting/transmitting hand-written comments back to the LM POC
- Facilitating LMGA annual and ad-hoc sponsorship agreements
- Administering to other office duties to include interface with building management; arranging for annual deep cleaning; scheduling ShredIt visits; packaging and receiving FedEx packages
- Communicating with LM personnel across the company, their non-LM customers, and members of the local communities via phone and personal computer
- Maintaining and expanding existing filing system, as needed
- Maintaining proficiency in My Timecard, to assist others, as needed
- Creating, reviewing and editing documents (e.g., reports, correspondence, and memorandums) using Standard Desktop software such as Microsoft Teams and Adobe-based software applications
- Answering the Fairborn office’s main phone in real time and via VOIP answering software; and assisting/referring callers, as appropriate
- Receiving, referring, or answering mail
- Mastering applicable LM policies governing all of the above
- Performing other duties as assigned
Basic Qualifications
Significant and recent experience serving in office management and administrative assistant position.
Effective communication and interpersonal skills and ability to work within a team.
Ability to initiate and prioritize tasks, and manage time with limited supervision.
High level of proficiency in the use of the Microsoft Office suite.
Willingness and ability to learn and take on tasks in support of high-performing LMGA team.
Desired Skills
Experience with SAP Concur – or equivalent – Travel and Expense software application
Experience operating teleconferencing and communication systems via web-based applications such as VOIP, Zoom, Skype, MS Teams, etc.
Experience inputting and processing check requests for various contributions and sponsorships.
Experience with time and attendance software
SECRET security clearance desired.
Pay Information
Full-Time Salary Range: $50300.00 - $93300.00

Represented full time employees accrue 6.67 hours of Vacation per month; accrue up to 52 hours of sick leave annually; receive at least 96 hours for holidays. PTO, Vacation, sick leave, and holiday hours are prorated based on start date during the calendar year.
