Performs a variety of secretarial and administrative duties for assigned supervisor/manager or senior staff member. Performs normal office functions such as setting up and maintaining alphabetical, numerical and/or subject files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. May take and transcribe dictation; uses personal computers and standard desktop software to compose reports, correspondence, and memorandums; reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. May provide guidance and direction, as needed, to lower-level secretaries and other clerical employees.

General tasking for Emerging Sensors team: 

- Proactively manage director’s calendars. 

- Make travel arrangements, anticipate needs, troubleshoot, and manage complex travel itineraries and complete expense reports (manage compliance and charging requirements) 

- Perform complex and diversified administrative functions that require independent decision making and problem solving with minimal direction.  

- Support and interface with customer(s) including customer visits and meetings, setup of meetings (including refreshments as necessary), and coordination of visit requests with Lockheed Martin Security.  

- Manage conference room (including reservations, Video Teleconferencing (VTC), Teams and other IT as necessary).  

- Order and maintain office supply inventory, organize shipments, mail, etc. in support of the Executive team and Syracuse HR/Labor Team.  

- Determine priorities of non-routine situations and will participate and lead miscellaneous projects or initiatives as needed, including providing support to the department staff.  

- Coordinate logistical details for classified meetings, ensuring all security requirements are met.  

 

This position will also provide support to the local Syracuse HR/Labor and Ethics Team. Tasks include, but not limited to: 

Support general HR needs and partner with HR Site Lead 

Maintain the Legal Boards around the site 

Check the HR mailbox and distribute as necessary (e.g. Wage Garnishments, Worker’s Comp Claims, etc.) 

Possibly assist with occasional travel arrangements and HR expense reports 

Monitor Hotelling offices and Conference room reservations 

Assist with Intern Program, Recruiting, Employee Morale, and New Employee Events, and other HR/Labor/Ethics events needs 

Arrange HR/Labor Team meeting cadence and other random meetings 

Note: The role is at the Syracuse facility. On-site support at the facility is required 3+ days per week. May occasionally need to assist outside normal office hours. 

Basic Qualifications

-Minimum 5 years of progressive administrative support experience including supporting senior leadership
- Proficient with Microsoft Office Suite

– Outlook including calendar management, Microsoft Word, PowerPoint, Excel, and Teams Workspace 
- Experience with arranging travel and completing expense reports.
- Knowledge of standard office equipment and technology for both operation and basic trouble shooting (i.e phone, iPhone, computer, laptop,photocopy, pdf, etc).

Pay Information

Full-Time Salary Range: $50300.00 - $93300.00
