This candidate is responsible for the administrative coordination and day-to-day support of subcontracted maintenance services across the Orlando campus. Supports initial contractor mobilization and onboarding, including coordination of site access, security badging, required documentation, points of contact, service requirements, and other activities necessary to successfully establish new maintenance service providers.

In steady-state operations, coordinates subcontractor service activities in alignment with maintenance requirements and schedules. Tracks assigned scopes of work, coordinates contractor access and scheduling, monitors required deliverables, follows up on outstanding work and documentation, and verifies administrative completeness of contracted maintenance activities. Works closely with the Planner/Scheduler, Maintenance Supervisors, Procurement, Security, ESH, and service providers to maintain visibility and accountability throughout the subcontracted maintenance lifecycle.

Primary responsibilities include subcontractor onboarding and mobilization, service coordination, security and badging coordination, scope and deliverable tracking, maintenance documentation follow-up, contractor scheduling support, service completion verification, administrative closeout, and maintenance contractor performance tracking.

Standard Job Description: Performs tasks related to the overall management and operations of facilities, including energy management, material inventory, maintenance and construction. May oversee the repair, replacement or redesign of facilities, and preventive maintenance planning and scheduling. Implements the timely completion of requirements in compliance with Company programs, objectives and within established cost parameters. May monitor work performed by vendors and/or subcontractors; determines adequacy of work relative to job specifications/scope, and recommends corrective actions as required.

Basic Qualifications

  • Experience coordinating contractors, subcontractors, vendors, facilities services, maintenance activities, or similar operational services
  • Experience managing multiple service requirements, schedules, documentation packages, or vendor deliverables simultaneously
  • Experience coordinating site access, onboarding requirements, documentation, or other administrative requirements for external service providers
  • Experience tracking work to completion and following up on outstanding actions, deliverables, or documentation
  • Experience utilizing computerized maintenance management systems (CMMS), enterprise workflow systems, procurement systems, or similar business applications
  • Ability to coordinate effectively across internal stakeholders and external service providers in a fast-paced operational environment
  • Ability to obtain and maintain required site access/security requirements

Desired Skills

  • Experience supporting subcontracted maintenance or facilities service agreements in an industrial, manufacturing, commercial, or campus environment
  • Experience onboarding or mobilizing new contractors and service providers
  • Experience coordinating contractor security badging, site access, orientation, or similar onboarding requirements
  • Experience reviewing scopes of work, service requirements, preventive maintenance requirements, or contractor deliverables
  • Experience verifying service completion and collecting supporting documentation such as inspection reports, service reports, test results, or other required records
  • Experience utilizing LMBuildings, Maximo, or similar enterprise maintenance platforms
  • Familiarity with facilities infrastructure services including HVAC, electrical, plumbing, fire protection, elevators, janitorial, grounds, or other building services
  • Experience tracking contractor performance, open actions, service deficiencies, or recurring deliverables
  • Experience coordinating across Maintenance, Procurement, Security, ESH, Finance, and other supporting organizations
  • Strong organizational, follow-up, documentation, and communication skills

Pay Information

Full-Time Salary Range: $72500.00 - $134600.00

  • Annual short-term and/or long-term incentive compensation programs may be offered depending on the position. Payments under these annual programs are not guaranteed and can vary from year to year and are tied to a range of performance metrics.
  • For (Washington state applicants only) Non-represented full-time employees: accrue at least 10 hours per month of Paid Time Off (PTO) to be used for incidental absences and other reasons; receive at least 90 hours for holidays. Represented full time employees accrue 6.67 hours of Vacation per month; accrue up to 52 hours of sick leave annually; receive at least 96 hours for holidays. PTO, Vacation, sick leave, and holiday hours are prorated based on start date during the calendar year.
