Performs variety of activities in support of functional areas such as finance, purchasing, or human resources or for a specific project/business/technical unit. Gathers, collects, records, tracks and verifies data and information from multiple sources. Compiles, reviews and analyzes data. Uses software for functional area, to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations. May design processes to enhance work flow. Provides data and information to others on functional unit processes and procedures.
We are seeking a proactive, detail‑oriented Administrative Assistant Specialist to support the Maritime Integrated Air & Missile Defense (MIAMD) program teams. The person selected for the role will:
- Coordinate Internal and External Meetings
- CAC Card management for travelers that require a CAC Card to travel;
- Provide calendar management, expense reporting, and other assistance duties as needed.
- This role requires strong multitasking skills, a collaborative mindset, and a genuine “people person” approach.
- Customer Meeting Coordination: Plan, schedule, and execute logistics for customer meetings. Keeping track of Lockheed Martin and customer attendees, ordering catering, preparing tent cards, sign-in sheets, arranging AV support, submitting Lockheed Martin Visits, and on‑site support.
- Internal Meeting Coordination: Plan, schedule, and execute logistics for internal meetings including a monthly Program Tier 3 Review and quarterly Off-sites. Schedule Review, update and promulgate agenda, track and coordinate the posting of the Program chart decks on Microsoft Teams, host the reviews (sharing program charts), capture action items and draft and send meeting minutes.
- Administrative Support: Provide calendar management, expense reporting, and other assistance duties as needed.
- Working with our customers to manage CAC Cards for those who require one for program execution
- Continuous Improvement: Identify process efficiencies and recommend best practices for meeting logistics and administrative workflows.
Basic Qualifications
- 5 years plus of Administrative/Office support experience (defense or aerospace industry preferred)
- Proven experience coordinating internal & external meetings, including logistics for large reviews/off‑sites
- Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint) and expense‑reporting tools
- Strong written communication skills for agendas, minutes, and action‑item tracking
- Excellent multitasking and prioritization to manage overlapping meetings, travel requests, and admin duties
- Detail‑oriented with an ability to build rapport with customers, internal teams, and vendors
- Advanced calendar management and event‑logistics expertise

Pay Information
Full-Time Salary Range: $56600.00 - $105000.00

Represented full time employees accrue 6.67 hours of Vacation per month; accrue up to 52 hours of sick leave annually; receive at least 96 hours for holidays. PTO, Vacation, sick leave, and holiday hours are prorated based on start date during the calendar year.
