Provides administrative support for maintenance purchasing activities, including preparation and submission of purchase requests and purchase orders, tracking orders through delivery, receiving materials within applicable systems, maintaining purchasing documentation, and routing invoices for appropriate review and approval. Coordinates with the Planner/Scheduler, Maintenance Supervisors, technicians, Procurement, suppliers, and other supporting organizations to ensure required materials are available when needed and purchasing transactions progress through completion.

Responsible for establishing and maintaining effective stockroom controls, including inventory accuracy, material organization, minimum/maximum stocking levels, cycle counts, obsolete or excess material identification, and replenishment of commonly used maintenance parts and consumables. Supports identification and staging of materials for planned maintenance activities and provides visibility of material shortages or procurement delays that could impact scheduled work.

Primary responsibilities include stockroom operations, maintenance inventory management, parts receiving and distribution, material staging, inventory replenishment, purchase request and purchase order administration, order tracking, material receiving, invoice routing, purchasing documentation, and coordination of maintenance material requirements.

Standard Job Description: Performs tasks related to the overall management and operations of facilities, including energy management, material inventory, maintenance and construction. May oversee the repair, replacement or redesign of facilities, and preventive maintenance planning and scheduling. Implements the timely completion of requirements in compliance with Company programs, objectives and within established cost parameters. May monitor work performed by vendors and/or subcontractors; determines adequacy of work relative to job specifications/scope, and recommends corrective actions as required.

Basic Qualifications

  • Experience supporting inventory, stockroom, warehouse, material management, purchasing, procurement administration, or similar operational functions
  • Experience receiving, storing, issuing, and tracking parts, materials, equipment, or consumable inventory
  • Experience preparing or processing purchase requests, purchase orders, material orders, invoices, or similar purchasing transactions
  • Experience utilizing inventory management, procurement, enterprise resource planning (ERP), computerized maintenance management (CMMS), or similar business systems
  • Experience maintaining accurate records and reconciling discrepancies involving inventory, orders, receipts, or invoices
  • Ability to organize and prioritize multiple material requests, orders, and administrative transactions simultaneously
  • Ability to coordinate effectively with technicians, supervisors, suppliers, Procurement, and other supporting organizations
  • Ability to obtain and maintain required site access/security requirements

Desired Skills

  • Experience managing a maintenance, facilities, industrial, manufacturing, or technical stockroom
  • Experience establishing or improving stockroom organization, inventory controls, and material-management processes
  • Experience establishing and maintaining minimum/maximum stocking levels, reorder points, or other inventory replenishment methods
  • Experience performing cycle counts, physical inventories, inventory reconciliation, and obsolete or excess material reviews
  • Experience supporting maintenance material planning, parts staging, or job kitting for preventive and corrective maintenance activities
  • Experience sourcing or identifying technical replacement parts using equipment information, manufacturer data, part numbers, or maintenance documentation
  • Experience utilizing LMBuildings, Maximo, SAP, or similar maintenance, inventory, procurement, or ERP platforms
  • Experience tracking purchase orders from request through receipt and supporting resolution of order, receiving, or invoice discrepancies
  • Familiarity with maintenance parts and materials supporting HVAC, electrical, plumbing, mechanical, carpentry, or general facilities activities
  • Experience coordinating with suppliers and internal Procurement organizations regarding material availability, lead times, and order status
  • Strong inventory-control, organizational, documentation, customer-service, and follow-through skills

Full-Time Salary Range: $72500.00 - $134600.00

  • For (Washington state applicants only) Non-represented full-time employees: accrue at least 10 hours per month of Paid Time Off (PTO) to be used for incidental absences and other reasons; receive at least 90 hours for holidays. Represented full time employees accrue 6.67 hours of Vacation per month; accrue up to 52 hours of sick leave annually; receive at least 96 hours for holidays. PTO, Vacation, sick leave, and holiday hours are prorated based on start date during the calendar year.
